The University Catalog provides the most up-to-date information about university degrees, programs, course offerings and degree requirements. The Registrar’s Office and the Graduate School are responsible for producing, archiving and ensuring the availability of the catalog to undergraduate and graduate students. The catalog also contains university policies and procedures.

Academic Calendar and Important Dates to Know

The A&M-Commerce Academic Year includes the Fall Semester (16 weeks), the Spring Semester (17 weeks) and the Summer Semesters (8 weeks) ending with Summer Commencement which usually occurs in mid-August.

Graduation Information and Application Process

Spring 2019 Commencement Information

Graduation Application Period: January 14th thru February 1st

Steps to Apply:

  • Step 1 – Meet with your departmental advisor.  The Registrar’s Office cannot advise you or make substitutions. To ensure your success for meeting graduation requirements, you must meet with your advisor PRIOR to applying for graduation.

PLEASE NOTE: The majority of correspondence is sent to your university assigned email account. Check your email and this website frequently for updates.

Commencement Participation:

Participation (walking) in the commencement ceremony is restricted to students who have completed ALL degree requirements. Students NOT meeting all requirements in the semester they apply will not be allowed to walk. Please plan accordingly as the ceremonies are ticketed and tickets are limited. Participation in the commencement ceremony does not guarantee conferring of any degree.

**All Spring 2019 Diplomas will be dated May 11, 2019, regardless of the ceremony attended.

It takes 6-8 weeks after the commencement ceremony to ship diplomas.

Transcript Information and Requests

Official Transcript

An official transcript is the university’s certified statement of a student’s academic record. The official transcript is printed on security sensitive paper and contains the university seal and signature of the university registrar. It lists courses completed, grades earned and the semester in which they were received. The official transcript also contains notations of distinctions, majors, minors, options and degrees received. Potential employers, graduate schools and professional associations most typically request that the student authorizes a release of an official transcript. For your protection, we will not release an official transcript without your signature. There is NO CHARGE for transcripts. You may request up to five transcripts per day and up to 50 transcripts per semester.

Unofficial Transcript

An unofficial transcript is a print out of all work completed at the university; however, unlike the official transcript, it does NOT contain any security features, the university seal or the signature of the university registrar. Unofficial transcripts carry no significant endorsements from the university. Much like an advising transcript, this is printed on white paper. An unofficial transcript cannot be mailed, but, when requested, the university will fax unofficial transcripts. Unofficial transcripts can be obtained anytime by contacting the Registrar’s Office and submitting a written request.

Advising Transcript

An advising transcript is intended for academic advising and on-campus use. Currently, enrolled students may obtain a copy of their advising transcript, without charge, by using myLeo, or by presenting a picture ID at the Registrar’s Office. You will not be allowed to collect an advising transcript from MyLeo if you have “holds” on your account. Advising transcripts contain the same information found on an official transcript, however, the advising transcript is not certified by the Registrar’s Office as a complete and accurate record of the university. The advising transcript is presented directly to the student on plain white paper and may be duplicated. The Registrar’s Office will not mail advising transcripts to any third party regardless of permission from the student.

Apostille

An apostille is a form of certification “to abolish the requirement of diplomatic or consular legalization for foreign public documents.” In Texas, the Texas Secretary of State is the authority that issues apostilles. The apostille is the certification by the Texas Secretary of State that the Notary Public has a valid commission to act on the state’s behalf as a Notary Public.

Note: In accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA), transcripts requested by email will not be accepted.

Prevention Or Delay Of Processing

A transcript request could be delayed or not processed for the following reasons:

  • Holds placed by Admissions, Financial Services, Library or University Police.
  • No signature on your request.
  • Insufficient, inaccurate or illegible identification information.

Delayed timelines for processing*:

  • For summer graduates – Three weeks after commencement
  • For fall graduates – First full-week of January
  • For spring graduates – Three weeks after commencement

*During this time, the Registrar’s Office will be calculating and updating GPAs, conferring degrees and processing grades; therefore, transcripts will not be available for students who were enrolled in the term that is being updated. This process takes approximately three weeks to complete, after which transcripts may be requested.

Typically, semester grades are available on myLeo the day after grades are due.

Requests for transcripts will be held until all end of semester processes have been completed.

Verification of Enrollment

Third-party Requests

Texas A&M University-Commerce has authorized the National Student Clearinghouse to provide all third-party enrollment and degree verifications. Transactions are conducted online at www.degreeverify.org.

Student Requests

After the census day of a semester (twelfth class day for fall and spring, the fourth class day for summer and second class day for mini-terms), a student may obtain an enrollment verification through their myLEO by going to Apps and clicking on View or Print Enrollment Certificates. A valid social security number must be on file to access certificates.

Enrollment status is reported as follows:

  • Undergraduate students enrolled in 12 or more credit hours = full time
  • Graduate students enrolled in 9 or more credit hours = full time
  • Undergraduate and graduate students enrolled in 6 credit hours = half time
  • Students enrolled in less than 6 hours are reported less than half time.

A student must be enrolled in at least 6 credit hours to remain in deferment from their student loans (exception: doctoral students with only dissertation remaining and have been admitted into candidacy are considered half time with 3 dissertation hours as determined by the Graduate School).

A&M-Commerce processes student enrollment verifications through the National Student Clearinghouse. Student enrollment data will be reported to the National Student Clearinghouse four times during the semester: pre-semester, after the census date, mid-semester and at the end of the semester. The Verification of Enrollment form can be completed online or obtained from the Registrar’s Office.

Student Parking Permits

All vehicles operated or parked on university premises must be registered with the University Police Department and a valid permit must be visibly displayed.

Enrolled Students:

  • The cost for permits is $40 in the fall term.
  • The cost for permits is $32 in the spring term.
  • The cost for permits is $24 in the summer term.
  • Permits expire each August 31.
  • Permits for students may be purchased in person at the Cashier’s Office windows in the McDowell Administration Building or at the One Stop Shop.
  • Permits are also available online through MyLeo.
